FluxPMS vs Excel (and the Notebook)
For many independent hotels, the real competitor is not Cloudbeds or Mews — it is Excel plus WhatsApp plus a notebook at the front desk. Excel is familiar, flexible, and requires no new vendor, which matters for a soft opening under five rooms with a single operator. It breaks down once a website, OTAs, or a second staff member enter the picture: no hard overbooking rejection, no durable audit trail, and one person who "knows the file." FluxPMS is $29, $79, or $199/month flat, with a 30-day free trial, multi-user truth, automatic website bookings, and hard conflict rejection on room-nights.
Free for 30 days. Your card is only charged when the trial ends. Cancel anytime.
For Many Independents, the Real Competitor Isn't Another PMS
It's spreadsheets, WhatsApp, and a notebook at the front desk. This page treats that stack seriously instead of pretending every hotel is choosing between two pieces of software.
Spreadsheet vs PMS: What Actually Changes
| FluxPMS | Excel / notebook | |
|---|---|---|
| Pricing model | Flat monthly: $29 / $79 / $199 | Low or zero license cost — the real cost shows up elsewhere (see below) |
| Concurrent editing | Multi-user with a single source of truth | Two people edit; nobody knows which version is current |
| Website bookings | Automatic — lands on the desk board, staff don't retype it | Manual copy from email/WhatsApp into the sheet — easy to miss or duplicate |
| Overbooking protection | Hard conflict rejection on room-nights | No hard rejection — a double-booked cell just looks like two rows |
| Audit trail | Durable record of who changed what, when | Usually none — edits overwrite silently |
| Bus-factor risk | Any trained staff member can operate the desk | One person "knows the file" — everyone else is stuck without them |
| Keys / check-in | Keys require a PMS row before issue | Keys sometimes issued against memory, not a written record |
| Local tax engine | Country-pluggable; regional e-invoicing modules on request | None — manual invoicing outside the sheet |
| Marketplace integrations | Stripe payments, WhatsApp guest messaging, iCal OTA sync, Google Hotel feed | None — every OTA and payment channel is reconciled by hand |
| Channel manager | iCal sync today; full channel manager coming soon | None — OTA calendars updated manually, one tab at a time |
| Reporting | Live occupancy, revenue, and export on demand | Reports can be built quickly, but only as accurate as the manual entries behind them |
| Target property size | 10–150 rooms (unlimited on Enterprise) | Workable only at very small scale with a single operator |
Flux pricing sourced from https://fluxpms.com/pricing (verified July 2026). There is no single "Excel PMS" vendor to cite — this comparison is against the general spreadsheet-plus-messaging-app workflow common at independent front desks.
The Cost Illusion
Excel's license cost is low — often already paid for as part of an office suite you own anyway. The true cost shows up elsewhere: overbookings from a missed row, website reservations that never made it into the sheet, training that only works for the one staff member who "knows the file," and owner hours spent reconciling fiction at month-end. When you compare total cost, compare the cost of errors — not just the subscription line.
What Excel gets right: it's familiar, flexible, requires no new vendor relationship, and gives the owner a feeling of full control. Those are real advantages for a soft opening with under five rooms and a single operator. They stop being advantages once a website, OTAs, or a second staff member enter the picture.
Moving Off Excel Without Drama
This does not require a "big bang" cutover. Most independents run both in parallel for about a week, then archive the sheet.
- Clean your room list. Write down every room, type, and rate you actually sell — the spreadsheet has usually drifted from reality over time.
- Set up FluxPMS. Register at fluxpms.com/register and build room types, rate plans, and inventory in the setup wizard. Budget 2–4 hours for a small property.
- Load future reservations only. Enter what's already booked ahead from the sheet into FluxPMS; historical data can wait or be skipped entirely.
- Sync your OTA calendars. FluxPMS syncs availability via iCal — paste the iCal link from Booking.com, Airbnb and other major OTAs so the spreadsheet stops being the sync point.
- Pick a public cutover date. Tell the whole team the date keys start requiring a PMS row, not a memory or a sheet lookup.
- Run one week of conscious double-check, then archive the sheet. Don't keep a "shadow Excel" running indefinitely just in case — that recreates the exact truth problem you were fixing.
