The desk problem independents know

Before a single system of truth, small hotels often live this pattern:

  • Guests arrive who “booked on the website,” but the desk only sees them if someone retyped an email.
  • Walk-ins and phone holds live in notebooks or chats.
  • By night, someone tries to “upload the day” so reports look complete.
  • OTAs, web, and the door all sell the same room if inventory is split.

Pattern 1 — Walk-ins on the calendar

Reception creates Walk-In from the calendar when the guest is at the door: hold the room, capture minimum guest data, source walk-in — not “website.”

That matches how a Guatemala front desk actually works: last-minute demand, cash and card mix, little patience for 20-field corporate forms.

Pattern 2 — Phone and future stays

Future dates and phone reservations use New Booking with an honest source (phone/staff). Staff do not mark them as website to decorate reports.

Pattern 3 — Website bookings without retyping

When a guest books through the hotel’s own booking path, the stay should already exist for check-in day. Today surfaces website arrivals so the night shift does not discover them only when the guest is in the lobby.

Pattern 4 — WhatsApp reality

WhatsApp remains how guests message. The operational rule is simple: promises that block rooms live in the PMS. Chat can confirm; the calendar must hold inventory. Flux does not replace WhatsApp — it stops inventory from living only in WhatsApp.
